Event Manager Job Description

We are looking for a successful and enthusiastic Event Planner to produce events from conception through to completion. Event Manager responsibilities include providing outstanding customer service and organizing memorable events that meet quality expectations. These events could be corporate meetings, trade shows, workshops, weddings, parties, off-site catering, wakes, or internally planned events for Stone Tree. You will be responsible for conceptualizing ideas for the events, creating and enforcing budgets, liaising with suppliers, communicating with clients, and ultimately ensuring that each event is flawlessly executed.

Responsibilities

  • Manage catering inquiries from initial contact to proposals to signed contracts to execution. 
  • Track deposits and other payments and invoicing as required
  • Enforces Stone Tree’s catering accounting policies and standards
  • Event planning, design and execution while managing all project delivery elements within time limits
  • Manage set-up, tear-down, and clean-up operations.
  • Liaise with clients to identify their needs and communicate effectively to the operations team to ensure customer satisfaction
  • Work with the client and the Kitchen manager to plan/price meals and beverages effectively.
  • Conduct market research, gather information and negotiate contracts prior to closing any deals
  • Provide regular feedback to General Manager and Kitchen Manager on the state of Stone Tree’s event packages and ensure they are kept current and priced effectively
  • Propose ideas to improve provided services and event quality
  • Ensure compliance with insurance, legal, AGCO, health and safety obligations
  • Specify staff requirements and coordinate their activities
  • Cooperate with marketing and public relations to promote and publicize event
  • Proactively handle any arising issues and troubleshoot any emerging problems on the event day
  • Conduct pre- and post – event evaluations and report on outcomes
  • Provide periodic reports to General Manager 
  • Research market, identify event opportunities and generate interest 

Requirements and skills

  • Degree in event planning, hospitality, public relations, management, or related field (is preferred).
  • Experience in project management with a track record of successful events.
  • Excellent organizational skills with the ability to multitask under pressure.
  • Strong communication and interpersonal skills.
  • Well versed in catering upselling and understands revenue, maximizing within the event space available
  • Creative, out-of-the-box thinking.
  • Ability to lead a team, delegate tasks effectively or be hands-on as needed.
  • Meticulous attention to detail.
  • Expert time management skills.
  • Financial savvy, with the ability to adhere to plan budgets and process invoices
  • Sales skills and ability to build productive business relationships
  • MS Office proficiency
  • Smart Serve certification required and food handling certification is an asset
  • Willing to submit references from previous clients
